YOUR RIGHTS
The Access to Information Act (ATIA) provides individuals with the right to request access to information in the custody or control of public bodies.
- You have the right to access records in Greenview’s custody or control subject to limited and specific exceptions.
- You have the right to access your own personal information, subject to limited and specific exceptions.
- The right of access to information does not extend to information excepted from disclosure under sections 19 – 32 of the ATIA unless that information can be reasonably severed from a record; you have the right to access the remainder of the record.
- The right to access information is subject to the payment of any fee required under the ATIA.
- You have the right to challenge the accuracy and completeness of the information received. Appellants will be directed to the Office of the Information and Privacy Commissioner of Alberta website https://oipc.ab.ca/information-access-review/ to request an independent review of any issue related to ATIA.
- You have the right to request that Greenview correct your personal information – contact the applicable department.
Access to Request Types
Access to Information Requests (access requests) fall under two categories: your own Personal Access Request or General Access Request.
Personal access requests: recorded information about yourself or about someone for whom you are authorized to act.
- You may be required to provide valid identification.
- If authorized to act for someone, you must provide one of the following documents: The third party’s written consent, Personal Representative, Power of Attorney, Trustee, Personal Directive, or Guardianship papers.
General access requests: recorded information that is not about an identifiable person.
How to Request Information
Complete the Access Request Form
- Complete and submit an Access to Information Request Form or
- A written request indicating, in detail, the desired information.
- Ensure you provide enough detail to enable Greenview to find the information within a reasonable time and with reasonable effort.

Pay the Fee
General access requests require a $25 application fee.
- Submit the fee. Processing your application will not begin until the fee has been paid.
- Fees can be paid with cash, debit, credit card or cheque.
- A personal access request has no fee (including when you make a request on behalf of a third party with proof of consent). Fees may apply if the printing of copies exceeds $10.

Applicant Requests Information
Access to information requests can be made for general information and/or personal information you believe to be under the custody or control of Greenview. If you are seeking general information, a $25.00 initial fee will apply. If you are seeking personal information, there is no initial fee. Additional fees may apply if the search for records is deemed extensive or yields a large volume of records.
Applicant Requests Information
Greenview’s Access to Information Coordinator (ATI Coor) reviews the request to:
- Verify that the records requested are in custody or control of Greenview.
- If the information requested can be provided with or without a formal access request.
Generally, a formal access request under the ATIA is not required if:
- The information is publicly available online, such as on Greenview’s website or Virtual City Hall.
- The information is available upon request by contacting the applicable Greenview Department.
A notice is sent to the Applicant acknowledging receipt of their access request confirming the following:
- Greenview may have responsive records.
- The applicable fee(s) are paid or is pending.
- Request additional information if necessary.
Access Request Distribution
Upon receipt of the above, the ATI Coor sends a request for records to the relevant Greenview business unit(s) that may hold responsive records related to your request. These units receive the search parameters (e.g., keywords, date ranges, specific details) noted in your access request or as otherwise specified.
Business Units Provide Records
Once the relevant business unit(s) identify responsive records, they are sent to the ATI Coor.
Review and redaction of requested records
The ATI Coor conducts a line by line review of all the responsive records. Any third party mentioned in the records will be contacted and asked for their approval to release the records. The third party has 20 days to respond.
The records may be released or withheld according to legislated exceptions to disclosure and/or the third party’s response. Redactions may be applied and are only made for exceptions specified in the ATIA.
Delivery of requested records
The ATI Coor will provide a final notice with the responsive records using your preferred method of receipt noted on the application.
Please note:
- The ATI Act provides 30 business days for Greenview to respond to your request. Although days spent clarifying the scope of your request or awaiting payment of fees may extend the 30 business-day response time.
- Greenview has the option to take an extension of 30 business days if the scope of the request is large or if consultations with a third party(s) are warranted. You will be notified in these instances.
- Any additional time extensions must be approved by the Office of the Information and Privacy Commissioner (OIPC) of Alberta.
Applicant unsatisfied with records supplied
Contact Greenview’s ATI Coor to discuss and potentially rectify the problem. If that doesn’t resolve the problem, the Applicant can appeal Greenview’s decision by contacting the OIPC of Alberta.

What is Personal Information?
Personal Information: recorded information about an identifiable individual, including, but not limited to:
- An individual’s name, home or business address, home or business telephone number, home or business email address, or contact information. (Excludes information on a business card.)
- An individual’s race, national or ethnic origin, colour, religious or political beliefs or associations.
- An individual’s age, gender identity or orientation, sex, marital status, or family status.
- An identifying number, symbol, or other particular assigned to the individual.
- An individual’s fingerprints, other biometric information, blood type, genetic information, or inheritable characteristics.
- Information about an individual’s health and health care history, including information about physical or mental health.
- Information about an individual’s education, financial, employment, and criminal history, including criminal records where a pardon has been given.
- Anyone else’s opinions about an individual.
- An individual’s personal views or opinions, except if they are about someone else.
